Alcohol Providers:
Ely Pride CIO will operate a beer/lager/cider tent for the Pride Day event, to further raise funds for the charity. Pitches for beer/lager/cider provision will not be accepted. Stallholders found to be selling beer/lager/cider for immediate consumption will have their trading permission revoked, without refund of the stall/pitch fees and will not be able to leave the site early.
Acceptance & Confirmation Of Application:
Until a member of the Ely Pride CIO Stalls Team has confirmed your application by email, it shall be considered provisional and may be turned down for various reasons, including reducing/eliminating duplication of stall types to ensure optimal trading opportunities for all attending stallholders. Ely Pride will endeavour to provide an answer as soon as possible.
Payment Of Stall/Pitch Fees:
Payment shall be made in full no later than June 30th, 2025, unless an agreement has been made with the Ely Pride stalls team to extend your payment deadline.
Your Stall:
• All stalls must be free from homophobia, transphobia, racism etc. in any form - any violation of this will result in stallholders being asked to leave immediately, without refund.
• The sale of the following items is strictly prohibited:
drugs, drug paraphernalia, poppers, tobacco, tobacco tools/equipment and all weapons, including guns and knives.
• Sale of these items will result in you being asked to cease trading at the event without refund or compensation and you will not be allowed to depart early.
• Charity tins may be permitted, but a request must be made in your application form.
• Promotion around your stall is allowed (so long as it does not block access routes) however promotion elsewhere on the site is not permitted.
• Ely Pride CIO cannot accept any liability for any injury or for any personal or business loss which occurs as a result of your attendance of the event or the products/services you sell.
• You must not exceed your allotted stall; encroach onto the stall on either side or into the aisles. If you do so, you may be
asked to move or remove items or your stall.
• All traders shall ensure that they have and provide us with evidence/copies of:
◦ Public liability insurance (to include Third Party Insurance Policy for the sum of £2 million or greater)
â—¦ A risk assessment for this event
â—¦ Applicable certificates and licences in force and valid throughout their participation and attendance at the event, specific to their operation (ie. food hygiene, generator safety certificate etc.)
We will not be able to complete your application without these documents and you may forfeit your payment if you do not provide them in a timely fashion, so that we can present them to the local council for safety assessment.
• All contractors, stall holders and their employees/representatives shall indemnify and keep indemnified Ely Pride (Pride in Ely CIO) and venue owners and their employees, expenses and liabilities arising out or in connection with death or injury or person (other than where occasioned by the negligence of Ely Pride (Pride in Ely CIO) or venue owners), or Damage to or loss of any property arising out of the contractors participation in or attendance at the event.
• You must inform us on this application if you propose to use electricity, generators, flammable materials or any potentially dangerous materials. This includes any makeup or items that are used as a service to Ely Pride attendees.
• Stallholder site information will be supplied nearer the event date, including stall/pitch location, access times etc.
Vehicles:
• If bringing a trading vehicle onto the site you will be required to provide a driver’s mobile phone number and the license plate will be recorded.
• You may bring one car or small van on site to unload and will be given a specified time for this. For the first time this year we do have space for vehicles to park in the adjacent field, this will be subject to a charge of £3 per vehicle - please inform us how many paid vehicles will be parked prior the day.
• Please comply with the 5mph speed limit, hazard lights must be on whilst driving on the site, do not obstruct other traffic and follow the direction of stewards at all times.
• There will be no vehicle movement on site during the public access times to the event. All movement times will be available closer to the event date. (traffic restrictions will only be lifted when it is safe to do so).
• The access routes into and out of the site must be kept clear at all times for emergency services. If you are asked to move your vehicle by a steward please do so immediately.
During the event:
• Please remember it is your responsibility to keep the area around your site tidy and to take your waste with you when you leave.
• Please help us to keep the area clean and safe by ensuring that any displays or exhibitions that you bring to Ely Pride will be safe and present no predictable risk to general public. This includes ensuring that the area is free of trip hazards and any hazardous materials and / or equipment.
• Whilst on site all staff and contactors must comply with all relevant statutory and other requirements that may relate to their activities on site, inclosing structural regulations, Health & safety Law, and Fire prevention precautions.
• Due to the nature of the site (a school playing field), all stallholders using stakes will be asked to tie brightly coloured ribbon onto each stake. This will enable us to spot missed stakes to avoid subsequent injuries during school sport use of the field. We will provide the ribbon upon entry.
